Conversion exception***
 
You may find yourself confronted by this rather formidable-looking window during conversion. It seems complicated, but once you understand how it works, you should find it a simple matter to solve most of the clocking problems you may encounter. Note: the buttons shown above will never all be visible at the same time. The image has been "cooked" to show its components.

Problem clock movements

1. Problem clock~movements
The clock movement(s) which the system is unable to handle on its own appear here. One or more of them will contribute to the problem. If, for example, there is a missing clock movement for the topmost day in the list, ALL the employee's clock movements for the days that follow that one will be shown, even if there is nothing wrong with them. When you have created the missing clock movement and you are not using manual conversion, you can press "Restart automatic conversion" and the system will create attendance records from all the clock movements in the list after which it will proceed to examine the clock movements for other employees.

New time programme

2. New time programme
???Whenever you select two entries in the yellow list by setting the little boxes to their left, the system calculates the normal time and overtime between those two entries according to the employee's time programmes, and shows the results in red figures below the blue list. If the calculated overtime is greater than the normal time, this button appears. It also becomes visible if the employee's clocking times do not accord with his/her time programme for that period, and the system tries to be helpful by suggesting that the employee's time programme might have changed and that you should select the new time programme.???

Current time programme

3. Current time programme
When the window opens, this shows the employee's time programme for the topmost day in the yellow list (if he/she has one for that day). To see the employee's time programme for any other day in the yellow list, click the box to the left of that day (but first clear any other boxes which have been set). If you find that this doesn't work, click the "Clear screen" button and try again.

Recent attendance records

4. Recent attendance~records
This shows the most recent attendance records for the employee preceding the selected day in the yellow list. Its contents will vary according to your choices in the yellow list.

Insert clock record

5. Insert clock~record
When you click here, the system will display the form which allows you to create a manual clock movement. It will assume that the clock movement must be created for the day highlighted in the yellow list and will preset the date shown on the form accordingly (you can change it, however).

Ignore marked record(s)

6. Ignore marked~record(s)
If you want one or more clock records to be disregarded for the purpose of time calculation, click the boxes to their left and press this button. You can mark a maximum of two records at a time. The marked record(s) will be removed from the yellow list and saved as "Discarded".

Next two records

7. Next two~records
This will use the first two clock movements in the yellow list and create an attendance record from them. The two clock movements will be removed from the list and the new attendance record will appear at the top of the purple list. Note: if you have scrolled the yellow list and the first two clock movements have rolled upwards off the display, the first two movements then visible are not the ones that will be used.

First and last records of day

8. First and last~records of day
The first and last clock movements for the first day in the yellow list will be regarded as the times clocked in and out and will be used to create an attendance record. The day's clock movements will be removed from the list and the attendance record will be added to the purple list. Note: if you have scrolled the yellow list and the first day has rolled upwards off the display, the first day then visible will not be the one that will be used.

Marked records

9. Marked records
The two marked clock movements (you can only mark two at a time) will be used to create an attendance record. The clock movements will be removed from the yellow list and the attendance record will be added to the purple list. Be careful: if you have marked records from two different days, an attendance record will be created provided that the time difference does not exceed 24 hours. If that happens, click "Delete last day" to return the records to the yellow list and remove the attendance record, then make the correct selection.

This is a help area with context-sensitive messages to assist you with the conversion.

Restart automatic conversion

11. Restart automatic~conversion
This button is not visible when manual conversion is active. Click it when you have solved the problem in the yellow list. It tells the system to convert the clock movements in that list and then to proceed with conversion of the other employees' clock movements.

Use IN time

12. Use IN time
This button becomes visible when any of the entries in the blue list is highlighted. If you want to create a clocking-in record for a day shown in the yellow list by using this button, do the following:
Highlight the day in the yellow list, highlight the entry in the blue list whose in time is equal to the time required and click this button. The form which allows you to create a manual clocking record will be shown with the date and time preset according to your selections and you merely have to press the save button.

Use OUT time

13. Use OUT time
This button becomes visible when any of the entries in the blue list is highlighted. If you want to create a clocking-out record for a day shown in the yellow list by using this button, do the following:
Highlight the day in the yellow list, highlight the entry in the blue list whose out time is equal to the time required and click this button. The form which allows you to create a manual clocking record will be shown with the date and time preset according to your selections and you merely have to press the save button.

Delete last day

14. Delete~last day
Removes the topmost attendance record from the purple list and inserts the clock movements from which it was created into the yellow list. The attendance record will be deleted from the master table of attendance records.

If you don't want to fix this problem right now, click here to ignore it temporarily. You will have to return to it later, however.

More options

17. More options
This button opens the "One employee" window discussed previously, which allows you to make changes to employee data without interrupting the conversion process.

Display attendance records

18. Display attendance~records
This button will display a list showing all attendance records for the employee. You can add, change or delete attendance records while viewing the list, but you are advised not to do so! It could create all sorts of problems! Use the list only to inspect the attendance records.

Stop conversion

19. Stop conversion
Stop converting and return to the main menu.
